| What
is the cost of a disbursements review?
There
is no outlay of funds. You pay us only for results,
so we get paid when you have use of the recovered
funds, either through a check, credit memo that
you use or, if you agree, substitute product or
services. We also cover all of our own expenses.
How
long will the process take?
Several
variables affect the completion time. It depends
on the number of documents that need to be reviewed
and how we access those documents. The average
time for a moderate sized audit, with one auditor,
would be six to ten weeks. On larger audits, we
typically assign two auditors.
Once
we decide to move forward, what is the next step?
We
will go over the data that we need extracted from
your system to perform our review. This meeting
should include the IT person who will be responsible
for extracting the data. Once we receive the data,
and have several days to process it, we will be
ready for our field work.
What
resources will you require from us?
We'll
need access to your archived payable records as
well as purchase orders, leases, contracts, and
other documents related to the payable process.
We also would like read-only access to your payables
system. Since most clients prefer to have us review
the records on site, a small workspace with access
to a phone, fax, and copier is extremely helpful.
If possible, we would also like Internet and e-mail
access as some vendors request an e-mail, with
our client's address, prior to providing information.
What
is your vendor contact process?
We
are very sensitive to your vendor relationships,
so if you have any "sensitive" vendors that you
do not wish us to contact or review, for any reason,
please let us know in advance. We try to contact,
and obtain statements from, vendors representing
at least 80% of your total payables. In this manner,
we can determine if any old credits have been
recorded of which you are not aware.
