Number of Vendors in a Master File

Vendor Master File - IOMA Benchmarking SurveyAn excessive number of vendors in a master vendor file, depending on the size of the company, can be an indication of a large number of duplicate entries and possibly fictitious entries. As a result, a quick look to see if the number of vendors in a master vendor file is well outside the norm for a particular size company will usually offer a tip off to the potential for problems and the need to clean up the vendor file.

 

For example, about 60% of all companies with 250-499 employees have between 1,000 and 5,000 vendors in their master vendor file. As a result, any company this size with in excess of 20,000 vendors clearly has the potential for a high number of duplicate entries. Going one step further, given the fact that roughly 90% of all companies have fewer than 20,000 vendors in their file, any number above this is a clear signal to take a close look at the master vendor file.
